Checklist: Choosing a 24/7 Shop Provider

In short: A good provider for a 24/7 shop delivers not just hardware but takes on operation and fault resolution. Before deciding, check seven points: round-the-clock service and monitoring, payment methods, access concept, age verification, interfaces to your inventory management, verifiable references and funding eligibility. The checklist below can be sent to any provider as a list of questions. Only compare quotes if they list the same services.

Why the choice of provider matters more than the price

A shop without staff only works as long as access, checkout, cameras and network are running. If access fails at three in the morning, customers stand in front of a locked door and nobody on site can help. That is why, when choosing, the hardware list matters less than the question: who takes care of it when something is not working?

The checklist

How to use the list: send the questions to all providers on your shortlist and ask for written answers. Anyone who dodges or only points to the product page usually has no reliable answer. Strike out points that do not apply to your location, such as age verification if you do not sell alcohol or tobacco.

1. Service and monitoring

  • Is the shop monitored around the clock, or only during office hours?
  • Does the provider detect faults itself (remote monitoring) before customers report them?
  • Is there remote maintenance, so that many problems are solved without a site visit?
  • What happens at night and at weekends in the event of an outage, and how quickly does the provider respond? Have response times stated in writing.
  • Who is the contact: a team or a hotline queue?

2. Payment methods

  • Which payment methods are possible: Girocard, credit card, Apple Pay, Google Pay?
  • Is payment processed through a certified payment service provider, and who is the contracting party?
  • What does payment processing cost per transaction? The fee belongs in your calculation.
  • Are there cash options, in case your target group expects them?

3. Access

  • How do customers get in: bank card, loyalty card, app, hotel card?
  • Is every entry logged?
  • Can the access concept be adapted to your guests, for example hotel guests only or also walk-in customers?
  • How is the door secured in the event of a power outage?

4. Age verification

  • Is age verification for alcohol and tobacco integrated into the self-checkout, or do you have to organise it separately?
  • Which method does the provider use, and has it been agreed with the competent authority? The Youth Protection Act (Jugendschutzgesetz) prohibits supply to minors (§§ 9, 10 JuSchG), and violations can cost up to €50,000 (§ 28 JuSchG). Details in our article on opening hours and youth protection.
  • Can alcohol and tobacco be hidden if you want to start with a range without them?

5. Cameras and data protection

  • How are cameras, notice signs and retention period implemented in compliance with data protection law?
  • Who has access to recordings, and where is the data stored (Germany, EU)?
  • Is there a data processing agreement?

6. Interfaces and operation

  • Can the checkout be connected to your inventory management system, or do you have to maintain stock levels twice?
  • How do you maintain prices and items, and who does it?
  • What does stocktaking look like, and what reports do you get (sales, shrinkage, stock)?
  • Is the network (Wi-Fi, internet connection, backup) part of the offer or is it your responsibility?

7. References

  • Can the provider name projects that you can visit or enquire about by phone?
  • Do the references fit your case (hotel, camping, farm shop, clinic, airport)?
  • How does the provider measure and document availability and downtime, and what reports do you receive? Ask for the basis of measurement instead of relying on marketing claims.

8. Funding and contracts

  • Does the provider know funding programmes for local supply in your region, and does it support you with applications? Example: Thuringia funded five digital 24-hour village shops in 2022 with a total of around one million euros. (convenienceshop.de)
  • How long is the contract term, and what does support cost after commissioning?
  • Who owns the system in the end: purchase, rental or licence?
  • Is everything from a single source, from the container to the technology? If several parties are involved, it should be clear who is responsible in the event of a fault.

Red flags

  • Quotes with no information on operation after commissioning
  • No named contact for faults at night and at weekends
  • Blanket statements such as "no shrinkage" without an explanation of how this is achieved
  • Missing references in the hotel, camping or farm-shop sector
  • Not a word on youth protection, data protection and shop opening hours at your location

Can I take over operation myself? Yes, many operators restock goods and maintain prices themselves, while the provider looks after technology and monitoring. Agree the division of tasks in writing.

How long does a project take? That depends on container or conversion, permits and delivery times. A reputable provider will give you a schedule after the site assessment.

Which payment methods should the shop offer at a minimum? Girocard and credit card, ideally also Apple Pay and Google Pay. Check what your customers use.

What should I prepare before the first conversation? Location or space, desired range, desired opening hours and existing infrastructure (power, network). That makes the initial quote more precise.
